Privacy policy

This policy explains what LogicMaps collects and why, including location data used for navigation and field operations.

Information we collect

We collect account details such as your name, email address, user identifier, authentication provider, and organization or dispatcher relationship.

When you use navigation, route recording, driver tracking, arrival detection, or location-based features, LogicMaps may collect precise location, direction, speed, timestamps, route progress, and related device signals. With your permission, location collection can continue in the background while an active navigation, tracking, or recording session is running.

We also process routes, stops, saved places, client and worksite details, map drawings, zones, recorded tracks, road reports, photos, scans, documents, voice transcripts, support messages, app diagnostics, and device or build information you choose to provide or generate.

How we use information

We use this information to authenticate users, build and optimize routes, provide navigation, preserve field instructions, coordinate drivers and dispatchers, process documents, improve address quality, support offline features, prevent abuse, troubleshoot failures, and operate LogicMaps.

Photos, documents, text, voice transcripts, route context, and related instructions may be processed by automated extraction, OCR, or assistant services when you request those features. We use the results to extract addresses and work details, answer questions, prepare route suggestions, and provide the requested feature. We do not use customer operational data to sell third-party advertising.

AI-assisted processing

Some LogicMaps features use external artificial intelligence and OCR providers. The standard Scan, document, photo, gallery, and file-import workflows may upload the complete selected image, scan, PDF, or other document to LogicMaps servers and then transmit the file or its contents to an external provider. Local or Quick OCR may process text on the device when available, but it is not used for every workflow and may still send extracted text to the server for structuring, address matching, or other requested processing.

The information sent for AI-assisted processing can include everything visible in the selected material, including names, addresses, phone numbers, account or customer identifiers, schedules, access instructions, notes, service details, and other personal or confidential business information. Assistant and voice features may also send the user's prompt or transcript and a limited portion of relevant route, stop, client, driver, or work context.

Depending on the feature and production configuration, these services may be provided by companies such as Anthropic and Google, or a replacement provider that performs the same limited function. These providers process data under their commercial terms and privacy and security commitments. We do not permit them to use LogicMaps customer operational data for advertising, and we do not intentionally opt customer content into model training.

AI and OCR processing may occur outside Canada, including in the United States and other countries where a provider or its subprocessors operate. Information processed in another country may be subject to that country's laws and lawful access requirements. Contact us at the address below to request current information about the providers and countries used for a particular service.

Do not upload personal, confidential, regulated, or third-party information unless you are authorized to have LogicMaps and its service providers process it. AI-generated and extracted results may be incomplete or incorrect and must be reviewed before they are saved, shared, used for navigation, or used to make an operational decision.

Service providers and sharing

LogicMaps uses service providers for hosting, databases, authentication, maps, geocoding, routing, file storage, email delivery, diagnostics, OCR, and AI-assisted processing. Providers receive only the information reasonably needed to perform the requested service. LogicMaps remains responsible for selecting and managing its service providers as required by applicable law.

Information may also be shared with your organization, dispatcher, assigned drivers, or recipients you explicitly choose. We may disclose information when required by law, to protect users, or to secure the service.

Retention and deletion

We retain information while your account is active and as needed to provide the service, resolve disputes, prevent fraud, meet legal obligations, and maintain legitimate business records. Retention periods vary by data type and organization settings. Uploaded originals, extracted text, import results, and assistant conversations may remain in LogicMaps storage until they are deleted under the applicable product or account-retention process.

External AI and OCR providers may temporarily retain inputs and outputs for service operation, security, abuse prevention, or legal compliance under their commercial terms. For example, Anthropic states that standard API inputs and outputs are normally deleted from its backend within 30 days unless a different retention arrangement, safety requirement, or legal obligation applies. Provider retention can change, and a zero-retention arrangement applies only when LogicMaps has expressly obtained and configured it.

You can initiate account deletion in the LogicMaps app or through the account deletion page. We verify requests and aim to complete them within 30 days. Personal data associated only with your account will be deleted or de-identified. Shared operational records, security logs, backups awaiting rotation, or records required by law may be retained for a limited period.

Your choices

You can control device permissions, stop active background sessions, edit or remove many saved items, request access or correction, and request account deletion. Disabling location or file permissions may prevent related features from working.

Security, children, and changes

We use authentication, access controls, encryption in transit, scoped storage, rate limits, and monitoring. No system can guarantee absolute security. LogicMaps is designed for professional users and is not directed to children under 13.

We may update this policy as the product changes. Material changes will be posted here with a new effective date.
